EXHIBITION MANAGEMENT



1、Arrangement of Exhibition Halls:

  (1)The organizers will allocate the exhibition halls into 2 parts according to the exhibit's category and source,i.e.Musical Instrument Hall and Pro Audio /Light Hall.All exhibitors must strictly observe the exhibition regulations as well as the volume control.
  (2)The Musical Instrument Hall(MIH)is officially arranged in six sub-halls no.1-1,1-2,1-3,1-4,1-5,&1-6 on three floors separately in Hall no.1 of China International Exhibition Center(CIEC),in the size of 25,000 square meters totally.
  (3)exhibits of MIH are various musical instruments and accessories.The organizers are planning to principally allocate the same or associated products within a certain area.
  (4)The volume of exhibit performing or demonstrating in MIH must be less than 70dB.The earphone is recommended for playing electroacoustic instrument or audio equipment.The On-site Volume Supervise & Control Team has the right to issue a Written Admonition to the exhibitor for its first disobedience,and to execute a penalty of cutting-off electricity 2 hours for the second time,and to cut off electricity until daily closure for the third violation.

 
2-Exhibiting Space Cost:
 
 (1)The rental cost is on the basis of "Price per Location".The booth rental of better location is higher than the ordinary.

  (3)A ready-for-display package is designed for exhibitors as a cost-effective means of participation and a minimum of 9 square meters is required.Multiple units are possible.
  (4)The standard Shell Scheme Booth per 9 square meters will include:*Aluminum frame system and a facial board(300mm high)with exhibitor's English and Chinese name thereon;*White plywood panel walls(2,500mm high)on all closed sides of the stand;*Booth area fully carpeted;*One information counter(1,000mL×450mmW×760mmH)and two chairs;*One 5A/220V socket(international style);*Two fluorescent tubes;*One waste basket.
  (5)Raw Space is available in minimum 36 square meters.Special designs,layout and fitting may be arranged by exhibitors at an additional cost by direct contact with the Official Booth Contractor(wwww.orientalexpo.com).

3-Technical Seminar:
  (1)Exhibitors will have the opportunity to hold seminars that are widely considered as a best way to have Chinese end-users informed of advanced technology and equipment and as a very effective means to facilitate trade and cooperation.
  (2)The management fee is US$400 per session,including seminar room,inviting of 30-50 professional audiences,drinks,etc.Computer projector,slide projector and other A/V equipment can be provided on extra order.
  (3)Usually each seminar will last for a maximum time of 2 hours(09:30-11:30 in the morning and 14:00-16:00 in the afternoon.)
  
4、Services Provided by the Organizer:
  (1)The organizer provides the following services to all exhibitors:
*Free listing in the general Exhibition Directory and MIH Visitor Guide Handbook separately;




  
*Cleaning of exhibiting area;
*Invitation to the opening ceremony and other celebrating activities;*Assistance in business conducting;*Stand construction and dismantling (for Shell Scheme Booth only);*Free exhibitors'badges for in-advance registration;*24-hour on -site security。
  (2)Optional supplies and services to exhibitors are:
  *Logo-listing in the general Exhibition Directory;*Advertisement in the Exhibition Directory,and in MIH Visitor Guide Handbook,and on the back of admission tickets,and on-site of exhibition fairgroud;*Arrangements for technical seminar;*Customs clearance;*Extra furniture & electrical;*Freight forwarding;*Installation of exhibits;*Preparation of artwork,designs and souvenirs,etc.;*Printing of promotional literature;*Travel and accommodation;*Official invitation letter for visa application;*IDD or DDD lines for telephone,Fax or computer;*Manpower including interpreter,attendant,receptionists.
 
5、Participation Procedures:
  (1)Fill out the Application Form and return it to the organizer of MIH(Beijing International Exhibition Center of CCPIT-Beijing) via mail,airmail,courier,fax,or e-mail.Please note that the application deadline is MARCH 30TH,2005.
  (2)Upon receipt of the Application Form,the formal Exhibition Space Contract in duplicate will be sent to the applicant for counter-signing.
  (3)A space allocation deposit as 50% of the total booth rental must be made by bank telegraphic transfer in US dollars in accordance with the Proforma Invoice issued by the organizer.
  (4)Account Information of the organizer of MIH is Beneficiary:Beijing International Exhibition Center;Bank Name:Bank of china,Beijing City Branch;Account No.:01090108091014.The balance payment should be settled one month before the official opening of the exhibition.
  (5)An Exhibitor's Manual explaining freight forwarding,booth design and construction,travel arrangement and accommodation,rental facilities,manpower services,advertising,visa application and so on will be sent to all the registered exhibitors upon confirmation of participation.Participants are required to return those forms to the organizer before the respective deadlines.
  (6)No space/booth will be allocated until payment of deposit is received.Booth allocation is on the basis of "First-come,First-served".

6、Important Notice for Safety:
  (1)No smoking in all exhibiting halls.
  (2)Exhibitor should take good care of their valuable exhibits and properties.It's strongly suggested that exhibitor has the important contract,passport,ID card,flight ticket,credit card,etc.left and stored in the safe-box in hotel.
  (3)It's better that exhibitor has the valuable musical instrument piece or portable notebook computer tied by special lockable cord or fishing thread.Exhibitors are suggested to prepare or rent the lockable cabinet for their stand on consideration of safe storage.
  (4)Exhibitors must apply for the organizer's approval in advance for live demonstration,dancing performance,souvenirs distribution,and celebrity signing,etc.,and must ensure those activities in good and safe order
